Quickbooks Online Integration

How to connect to Quickbooks Online #

  1. Go to System on the main menu.
  2. Then go to System Setup.
  3. Click on the Quickbooks tab across the top.
  4. Click Connect to Quickbooks.
  5. You will be redirected to Quickbooks online and asked to log in.
  6. You will need to select a company file to link Encore with.
  7. Once Encore is successfully linked, the Quickbooks Online setup area will indicate you are connected.

How to setup Quickbooks Online integration #

  1. Go to System on the main menu.
  2. Then go to System Setup.
  3. Click on the Quickbooks tab across the top.
  4. Click the dropdown next to each account selection and select the account you want Encore to post to in your quickbooks company file.
  5. There are 7 categories of accounts to set up before you can do you first post.
    1. Bank accounts, found under the main section of the setup.
    2. Paytype accounts (ex. Cash, Debit, Visa, Mastercard) These can all be the same account if you don’t plan to split these up in Quickbooks. 
    3. Payment accounts, which covers alternative payments or non-depositable payments like Gift cards, Coupons and Series.
    4. Revenue Accounts, which covers your revenue and refunds from Services, Products and Eco Fees. Products and Services can be sent to single accounts in Quickbooks or can be split into multiple accounts based on their category in Encore.
    5. Expense accounts, which covers things like promotional expenses, over/under and discounts.
    6. Inventory accounts, which would track your inventory value, cost of goods and shrinkage.
    7. Tax accounts, which is where you would set the account responsible for your sales tax records.

Note: Any accounts Encore requests that you don’t have in Quickbooks my need to be set up in Quickbooks before that account can be linked.

If you have data in Encore that requires an account to post, the post may fail if there isn’t an associated account set up for that data. For example, if you used coupons in November, but didn’t link an Quickbooks account for Coupons in the Quickbooks setup, it wouldn’t have anywhere to go, and the November post would fail.

How to post to Quickbooks Online #

  1. Go to Utilities.
  2. Go to Quickbooks Utility.
  3. Select your date range at the top left of the screen.
  4. Click Post to Quickbooks.
